Understanding how Chargebacks work helps you respond with confidence and protect your sales. Below are the most common questions Jim sellers have about chargebacks.

  • Merchant: The individual or business selling the goods or services.

  • Customer: The individual or business purchasing the goods or services from the merchant.


What is a chargeback?

A chargeback is when a customer asks their bank to reverse a card payment. It's not a refund. The bank, not the merchant, calls the shots.


Why do customers file chargebacks?

Common reasons include:

  • The customer doesn't recognize the transaction.

  • The card was used without authorization.

  • The product or service never arrived.

  • The product was defective, damaged, or different from what was described.


Is a chargeback the same as a refund?

No. A refund is the merchant's call, and a chargeback is the bank's. Merchants usually prefer the customer reaches out directly so they can resolve the issue without involving the bank.


What happens when a chargeback is opened?

The disputed amount is held or deducted while the case is reviewed. The merchant might also pay a chargeback fee.


Can a merchant fight or respond to a chargeback?

Yes. Through a process called representation, the merchant sends evidence that the transaction was valid and fulfilled.


What evidence should a merchant provide?

Strong evidence includes:

  • Receipt or invoice.

  • Order confirmation.

  • Shipping and delivery confirmation.

  • Proof of service completion.

  • Signed contract or signed delivery receipt.

  • Refund, cancellation, or return policy accepted by the customer.

The best evidence depends on the dispute reason.


How long does a customer have to dispute a charge?

For U.S. credit cards, consumers have up to 60 days after the purchase, but network chargeback windows may stretch beyond 120 days.


Can customers dispute debit card transactions too?

Yes. The rules differ, but the customer's experience looks the same: they call their bank and dispute the charge.


What is the difference between fraud and non-fraud chargebacks?

  • Fraud chargebacks: the cardholder says they never authorized the transaction.

  • Non-fraud chargebacks: are for delivery issues, defective goods, duplicate billing, cancelled services, policy disputes, etc.


What is "friendly fraud" or first-party misuse?

"Friendly fraud", a misleading name, is when a customer disputes a legitimate transaction.


Can a merchant contact the customer?

Usually yes and it's recommended. Reaching out can clear up misunderstandings, like a customer saying "oh, I realized" about their chargeback and withdrawing the dispute.


What happens if the merchant wins the chargeback?

The disputed amount comes back to the merchant, but some fees might not be refundable.


What happens if the merchant loses?

The disputed amount stays with the customer permanently.


How can merchants prevent chargebacks?

Best practices include:

  • Use a clear billing descriptor.

  • Send order confirmations and receipts.

  • Make customer support easy to reach.

  • Keep refund, cancellation, and subscription terms clear.

  • Ship with tracking and proof of delivery.

  • Keep records of customer consent and fulfillment.


What should a merchant include in a dispute?

A strong dispute usually includes:

  • Customer name and account details (for subscriptions).

  • Transaction date and amount.

  • Merchant name as it appears on the statement.

  • The reason for the dispute.

  • Supporting documents: receipts, emails, cancellation confirmation, return proof, or delivery.


What matters most for merchants?

Respond fast, with evidence that matches the dispute reason. Miss the deadline and the merchant loses by default even if the charge was legit.
